How Know the Applicant Works:

  1. Sign Up and Get Your Unique Code

Once you sign up you will access the members only page. Then you’ll be able to fill out your practice details so we can generate your unique code and email it to you within 24 hours.

2. Add Your Code to Any Job Ad or Give Directly to a Candidate

All you need is this url: https://online-apply.com and your unique code, in order to start receiving applications straight to your inbox as a PDF.

Some practice owners add the url and their code directly in the body of their job ad. Others don’t send this until they have reviewed an Indeed/resume submission and choose to send the candidate a text or email with the url and code directly instead.

Some do a mixture of both. This part is up to you!

3. Screen Candidates at Your Convenience

As you start receiving the applications to your email, you begin reading through them and call those that you wish to bring in for an interview. If you are not getting enough applicants, you need to tweak your ads. When you sign up, you can book a one-time free consultation to get help on an ad for a position you need to fill.

    "Resumes are one factor in the hiring process so viewing those on Indeed was at least a starting point.  Using ExecTech's custom-made online job application system allowed me to gain more information about the applicant, not only professionally but personally as well.

    Some applicants would provide a photo.  I think appearance is very important and it was interesting some of the photos that were received.  I always pay attention to grammar and spelling as well.  When applicants didn’t take the time to proofread, that sent a red flag to me.

    "I am the practice manager of a medical practice and I have used ExecTech's Online Job Application system since it was introduced to me more than 10 years ago. 

    As we all know, hiring is a time consuming and stressful process. I have found that using this online job application has been extremely beneficial.  I only send it out to the candidates who I am very interested in pursuing (after a phone conversation) and it is the mandatory next step in the process before I set up an in-person interview.

    Here's how it helps:

    #1 If the candidate does not fill it out and send it back then he/she is dropped from the process. This is an automatic weeding out step.

    #2 If the candidate is not prompt to send it back it shows something about how interested they are in the position, their work habits.

    #2 The questions on the application are well thought out and tell me a lot about the candidate...what kind of situations they have been in, how they have dealt with the situation, how they think, can they comprehend the question.

    #3 I am able to see if the candidate has effective communication skills- can he/she write so that others understand?

    "One of the pre-interview questions on the application is “How would you feel if your boss asked you to do personal errands for him or her, at full pay?”.  This was an interesting one because I believe it gave insight as to how helpful and flexible someone is.  Some applicants flat out refused and were almost insulted by the question!  That was another red flag for me.  Sometimes the “boss” needs that extra duty done to make the office run efficiently.  We strived in hiring team players and this didn’t indicate a team player to me.

    Also, in our Indeed ad, it was mentioned being bi-lingual is a benefit for our practice. In Florida, there are many patients that only speak Spanish and it’s important that we have employees that can communicate with them.  What I would notice is some of the applicants had limited English skills but were proficient is Spanish.  Our office needs someone who was proficient in both languages. Those applicants that filled out theirs in Spanish were asked to resubmit in English.  It was noticed that those who were truly qualified and interested in the position followed through and resent the application in English.  Unfortunately, some did not and that stopped them from moving along in the process."

  4. Click “Next” to browse through the application pages until you reach the final page.

  5. Click the Submit Application button at the bottom.

  6. You will then get an email with a PDF of the form you just submitted. (Allow a few minutes for the email to arrive in your inbox.)

    This is how it will look for you when an application is received. The applicant will get an acknowledgement that their application was submitted.
